Refund policy

Effective Date: August 2026

1. Purpose

This policy explains how refunds, cancellations, credits and related adjustments are handled for Dimaxe Academy services. It is designed to be fair to students and families while supporting the sustainable operation of our programs.

2. Scope

This policy applies to:

  • One‑to‑one and small‑group tutoring sessions
  • Course packages and term enrollments
  • Special programs (e.g., exam preparation, selective school coaching, PLAN preparation)
  • Outreach or workshop events where fees are charged

It does not apply to free trials, complimentary sessions, or scholarships unless otherwise stated.

3. Payment and Credits

Families purchase tutoring time as hourly credits or course packages.

Credits are recorded in the student’s account and used to book sessions.

Where volume discounts or promotional pricing apply, refunds are calculated on the effective hourly rate after discount, not the undiscounted price.

All fees are quoted in [insert currency, e.g., AUD] and include/exclude GST as applicable.

4. Cancellations by Families / Students

4.1 Standard cancellation window

Sessions cancelled at least hours before the scheduled start time:

No charge; the session is not deducted from credits.

Sessions cancelled less than hours before the scheduled start time:

[50%] of the session fee is deducted from credits, unless exceptional circumstances apply (see Section 7).

4.2 No‑shows

If a student does not attend a scheduled session and does not cancel in advance:

The full session fee is deducted from credits.

4.3 Course packages and term enrollments

For fixed‑term courses or packages:

If a student withdraws before the course starts: full refund of unused credits.

If a student withdraws after the course has commenced:

Refund is calculated on a pro‑rated basis for unused sessions, less any applicable cancellation fees for late cancellations/no‑shows already incurred.

Dimaxe Academy reserves the right to apply an administrative fee of up to [?]% of the remaining balance to cover enrolment and scheduling costs, where permitted by law.

5. Cancellations by Dimaxe Academy

If Dimaxe Academy cancels a session or course:

Families will be offered:

  • A make‑up session at a mutually agreed time; or
  • A full credit of the session fee back to the student’s account; or
  • A refund of the affected session fee to the original payment method, where requested and feasible.

If an entire course or program is cancelled by Dimaxe Academy:

Families will receive a pro‑rated refund for all unused sessions, calculated from the date of cancellation.

6. Refund Requests and Process

Refund requests must be submitted in writing to [insert email address].

Requests should include:

  • Student name
  • Account/reference number
  • Reason for refund request
  • Preferred outcome (credit vs refund to payment method)

Dimaxe Academy will acknowledge receipt within [3–5] business days and provide a decision within [10–15] business days.

Approved refunds to payment methods may take [5–10] business days (or longer, depending on the bank) to appear.

7. Exceptional Circumstances

Dimaxe Academy may exercise discretion in cases of:

  • Serious illness or injury (student or immediate family)
  • Bereavement
  • Significant unforeseen events (e.g., natural disasters, major transport disruptions)

In such cases, standard cancellation fees may be waived, and alternative arrangements (e.g., extended credit validity, make‑up sessions) may be offered. Supporting documentation may be requested.

8. Changes to This Policy

Dimaxe Academy may update this policy from time to time. The current version will be available on our website. Changes will not apply retroactively to bookings already confirmed, except where required by law.
